Privacy
Short version: what you type stays in your browser. Anything that leaves is listed here, and the features that need the web are switches you turn on.
What you enter
Your resumes, jobs, companies, applications and notes are stored by your browser on this computer, and nowhere else. There is no account, and we have no database with your data in it. If you clear your browser data, it is gone — export a backup file first.
To keep someone else's details — a friend, a family member — use a separate Chrome profile for them, so their data stays apart from yours on this computer.
Features that use the web
- Reading a company's own website. Only the name or address you gave leaves this computer. Our server opens that page and sends the text back; everything after that happens in your browser. It asks before the first time, and you can set it to always, ask each time, or never.
- The AI that fills in empty fields. It runs on your own graphics card. What you paste is not uploaded, and it works with the network off once downloaded.
- The matching model. If you ask it to find the closest line in your experience, a 135 MB model is downloaded once from Hugging Face (which sees your IP address, as any download does). It then runs in this browser; your profile and the posting are not uploaded.
- The browser extension (optional). If you install it, ApplyKoala hands it your current profile, your resumes and a short list of the jobs you saved (title, company, link — not the postings), and it keeps them in this same browser. On job sites (Greenhouse, Lever, Ashby, Workday, JobStreet, MyCareersFuture, Wellfound, Indeed and a few others) it looks at the job you open to tell you whether you saved it; you can turn that off. It fills a form only when you click it, never submits, and sends nothing to us. Its “Report this form” button copies the layout of a form to your clipboard — with your name, email and phone number taken out — so you can send it to us yourself if a field was filled wrong; the extension does not send it. When you save a job or mark one as applied, the extension keeps that note in the browser until you next open ApplyKoala, which then files it. The extension has no analytics of its own, and nothing it handles is sold, shared with anyone, or used for anything other than filling forms and saving jobs for you. Its use of this information follows theChrome Web Store User Data Policy, including the Limited Use requirements.
- Sharing jobs. A share link carries the jobs inside the link itself, after the # sign — browsers never send that part to a server, so we never see what you share. Anyone you give the link to can read those jobs. Your applications, resumes, notes and the companies you avoid are not included unless you tick “Include my notes”.
- Place names. When you first type in a location field, a list of countries and cities (from GeoNames, CC BY 4.0) is downloaded from this site. What you type stays in your browser — the matching happens here, not on a map service.
- Fonts. Loaded from Google Fonts, which sees your IP address as any website request does.
If we ever add an online model — one that runs on someone else's computer — it will be a separate switch, off by default, and it will say what it sends before it sends anything.
What we count
We use Google Analytics to count how the product is used: which page was opened, which button was pressed, how far a step got. No text you enter is ever included— the values we send are counts and fixed words like fill_started. When you save a job with a link, we count which kind of hiring system it is (lever, greenhouse, other…), never the address itself.
We also use Microsoft Clarity to see where people click and scroll, so we can find the parts that trip people up. Text is masked: resumes, job postings, company details and form fields are covered before anything is recorded. We can see that a button was pressed; we cannot read what you wrote.
Both set cookies in your browser. Neither is used to build an advertising profile of you on this site.
Advertising
The app itself carries no advertising. If guides or articles on this site carry ads in future, they will be on those pages only — never on a page where your own details are on screen.
Children
This is a tool for people looking for work and is not directed at children under 13.
